As the holidays approach, many directors experience an increase in PTO requests from teachers eager to spend time with their loved ones. That can make scheduling extra tricky, as balancing holiday attendance, staffing needs, and family engagement all at once is no small task. However, a little advance planning can make all the difference! This season, I’m excited to share a new resource to simplify this process and help you feel more prepared.
Introducing the Holiday Week Attendance Prep Printable
Because centers have so many different closure days over the holidays, I included a few options for these attendance trackers. Be sure to find the one that fits your closure dates OR use the blank one to fill in and match your centers closures!
With the printable attendance sheet template, you can get an early look at which children will be present during the upcoming holiday weeks. And by understanding your projected attendance, you’ll have a better idea of how to manage staffing needs and can even approve additional PTO requests—without stretching your team too thin. This proactive approach not only helps you meet classroom ratio requirements but also reduces payroll costs, all while allowing staff to take the time off they’re hoping for.
The Holiday Attendance Prep Sheets is designed to make holiday scheduling seamless and efficient:
Print the Template for Each Classroom – Print a separate sheet for each classroom. Double check that you print the one with your correct closure dates, or the blank one. You may need to print 2 sheets depending on how large your classroom sizes are!
Add Child Names – Each sheet includes a designated space to enter child names down the side. This is an easy activity for teachers to complete during nap time.
Post the Sheets Outside Each Classroom – Hang the attendance sheets where parents can easily see them, right outside each classroom door.
Gather Attendance Plans – Ask parents to indicate the days their child will be attending, and which days they will not be attending.
This clear, straightforward approach gives you a reliable snapshot of attendance for the holiday week, making it easier to finalize staffing, accommodate more PTO requests, and ensure smooth operations.
